General conditions for stand rental at Graveland Festival
1.0 Registration
Because we only have a limited number of stands available, the registrations are on a first-come-first-serve basis, where long-time partners are given priority. When you are selected to participate, you will receive the confirmation form within two weeks of your registration. If you do not hear from us within that time, then all the stands have been reserved. We will then place you on our spare list and we will ask you in case someone has cancelled.
2.0 Payment of stand rent
Payments of the stand rent should be made after accepting this agreement, in euros and within 14 days of the invoice date.
If payment is not completed within these 14 days, the reservation of the stand will be passed on to the first person on the spare list.
3.0 Cancellation by exhibitors
An exhibitor can cancel a registration via an e-mail to the organization (ronny@graveland-fest.com). In the event of cancellation, the exhibitor is charged the following cancellation fee:
– if the stand is canceled more than 3 weeks before the event: 50% of the stand rent is refunded.
– if the stand is canceled less than 3 weeks before the event, no refund will be made.
Attention! The organization is not obliged to refund any money if the renter is dissatisfied.
4.0 Liability
4.1 Liability when hiring stand from Graveland/the organizer.
4.1.1 The exhibitor is responsible for any damage to the stand and/or articles of the exhibitor.
4.1.2 The organization does not accept any liability for theft in any form. These risks must be insured by the exhibitors themselves.
4.1.3 Exhibitor cannot be held accountable for any injury caused to visitors in the stand.
4.2 Liability for bringing your own stand
4.2.1. The organization is not responsible for damage to the stand and/or articles of the exhibitor.
4.2.2 The organization does not accept any liability for theft in any form. These risks must be insured by the exhibitors themselves.
4.2.3 The organization cannot be held responsible for any injury caused to the visitor in the stand.
5.0 Merchandise sales performing artists
It is not permitted to sell merchandise from the performing artists.
Offenders are removed from the festival grounds.
6.0 Forbidden
Selling racist merchandise in any form is strictly forbidden! Offenders will be removed from the festival site immediately.
7.0 Force majeure The organization reserves the right to change the details and times of the event stated on the registration form at any time due to special circumstances that have arisen due to force majeure, that prevent the event from taking place at mentioned times and dates or cancel the event at any moment, without the right for renters to start cases against the organization for compensation of any damage.
Force majeure as referred to here is characterized by (a situation arising from):
– Traffic disruptions or accidents.
– Extreme weather conditions, fire, floods and natural disasters.
8.0 Times for setting up / breaking down stands
You can set up your stand on Friday the 8th of May between 6.00 pm & 9.00 pm and Saturday the 9th (event day) between 9.00 am & 10:30 am. After 10:30 am there is no possibility to load and unload goods.
Breaking down the stand can be done only until after the site has been closed to visitors.
